Accounting Administrator

POSITION:Accounting Administrator

CITY: Toronto, ON

LENGTH OF ASSIGNMENT: Permanent, Full-time

SALARY: $45,000 - $50,000

Job Description:
  • Perform the day to day processing of accounts payable and receivable to ensure that finances are maintained in an effective, up to date and accurate manner
  • Receive and verify invoices against purchase orders, seeking approvals when necessary
  • Verify that transactions comply with financial policies and procedures
  • Prepare batches of invoices for data entry
  • Manage the weekly cheque run; obtain Controller’s approval and appropriate sign offs
  • Establish strong relationships with vendors and maintain updated vendor files
  • Maintain up-to-date billing system & various invoice procedures per client
  • Carry out consistent follow up on collection each week, and record activities in a shared spreadsheet
  • Prepare daily bank deposits
  • Investigate and resolve customer queries through the reconciliation of accounts and process adjustments
  • Monitor customer account details for non-payments, delayed payments and other irregularities
  • Maintain accounts receivable customer files, both permanent and current orders
  • Communicate with customers via phone, email, mail or personally
  • Send out monthly statements to clients via email or mail
  • Provide various analysis reports on customer activity as requested
  • Answer telephone and electronic enquiries, relaying telephone calls and messages within the company
  • Maintaining/ordering office supplies
  • Maintain the general filing system and file all correspondence
  • Assist the Finance department with filing invoices, matching POs, and verifying billing
  • Other duties as assigned by supervisor
Job Requirements:
  • University or college degree in Accounting, or related experience
  • Advanced knowledge of Microsoft Office Outlook, Word & Excel
  • Experience with Sage Accpac
  • Must be able to effectively communicate in English
  • Strong attention to detail
  • Possesses the ability to multi-task
  • Ability to work in a fast-paced environment
